Job Posting: Program Operations Manager

Community Purchasing Alliance Cooperative (CPA Co-op) is a social-purpose cooperative that helps community organizations—schools, congregations, and other nonprofits—negotiate better contracts for their facilities. We strive to lower operating costs so that they can spend more on their missions. At the same time, we strive to shift contract spend to local, woman-owned, and BIPOC-owned vendors.

We are seeking your experience to own the backend and operations support for effective program delivery. This person primarily supports our program directors and our Finance & Operations team.

Area #1: Program Support

  • Second Pair of Eyes on Bid Sheets, Contracts, and RFP Documents. You serve a crucial role to ensure that the documents in our bid process are accurate and meet the standards of CPA.

  • Ground support. Support our purchasing program directors for site visits and walkthroughs as needed.

  • Data support for programs. You help program directors with their data management (for example, jumping in to help enter bill information on electricity bills, pull data for revenue projections).

  • Support contracting process. You work with program directors to shepherd our contracts from document creation to full execution. You ensure that our contracts are stored appropriately across our platforms, easily accessible for other staff.

  • Co-create workflow processes for our programs. Work with program directors to establish the workflow and meet deadlines for all RFP steps.

  • Support contract renewals. You provide support for key purchasing programs in generating renewal pricing from vendors, preparing renewal contracts, summarizing pricing for participants, and sending contracts for e-signature.

Area #2: Operations Support

  • Legal and regulatory support for programs. Some of our programs require special licenses (e.g. energy broker licenses). You work to maintain them in good standing across the states we operate in and create new ones as necessary.

  • Database oversight. As a team, we use cloud-based platforms for storing data (including information about our members, our vendors, and our contracts) as well as documents. You are the owner of accuracy and completeness for these platforms so that the team finds our tools reliable and trustworthy. Our current data platforms are primarily AirTable and Google Drive.

  • Process improvement. You take the initiative to identify weaknesses in our internal systems and processes. You suggest creative solutions that help us get our work done more efficiently and effectively.

Must Haves

  • Attention to detail. You handle a lot of data and need to keep it straight so that it’s useful for the organization and your team members.

  • Ownership and resilience. You care deeply about getting results—driving work forward to the finish line. We are always looking to improve and want you to be an active partner in improving the processes in your domain and the organization as a whole.

  • Adaptability. CPA is a rapidly growing organization that is experimenting in new regions and new programs. Your role will need to change to meet the organization’s changing needs.

  • Tech savvy-ness. You have familiarity with multiple data management platforms, including spreadsheets and databases.

  • Commitment to workplace democracy. CPA is a unique organization that practices a form of governance called sociocracy. We make decisions by consensus and expect all our staff to co-own the shape and direction of the co-op.

Nice to have

  • An eye for design. You can help us put together compelling visual presentations and one-pagers for our programs.

  • Data systems design. You can help us improve our data management systems to better streamline our processes.
